Managing people

Owner, Admin

Adding a person

  1. Go to Settings → Access → People.
  2. Enter their name and work email, and choose a level. Owners can add Members; Admins can add any level.
  3. Press Add person. They receive the invitation email, with a link to choose a password and a quick start checklist.

Changing the invitation email

Under Settings → Access → Invitation email, Owners and Admins can change the invitation's subject and text. Words in braces, such as {name} and {link}, are filled in for each person; the list is under Words filled in for each person. The text must keep {link}, the link that creates their password. Restore the standard text brings back the original, quick start checklist included.

The bar above the text formats it like event notes. Unformatted text keeps TeamCal's standard layout; formatted text is sent exactly as it looks in the editor. Either way the {link} line becomes a large Create your password button.

Email not arriving? Press Send password link next to the person. A link is shown that you can copy and send by chat or text message. Each new link replaces the previous one.

Changing someone's details

You can rename someone, change their email, or change their level. A person's past events keep the name they were added under.

Switching access off

Switching a person off signs them out on every device immediately and stops their calendar feed. Their events stay on the calendar. You can switch them back on at any time. This is the recommended step when someone leaves, or when you are unsure.

Deleting a person

  1. Press Delete next to the person.
  2. A list of the events they added appears, all ticked to keep.
  3. Untick any you don't want. Unticked events move to Recently deleted, where they can be restored for 30 days.
  4. Confirm. Kept events stay on the calendar with the person's name on them.

The wall display sign-in

Under Settings → Access → Wall monitor (team login), you can change the shared username or password used on the dashboard screen. Confirm with your own password. Changing the password signs the wall display out, so someone will need to sign it in again with the new password. An Admin decides whether the wall display may add events.
