Using TeamCal
Adding and changing events
Members, Owners and Admins can add, change and delete events.
Adding an event
- Press New event at the top, or select an empty spot on the calendar to start on that day and time.
- Choose a Type. The type sets the color and icon, and the list shows both. Some types require certain details; those fields are marked with a star (*).
- Enter a title and any other details: name, company, a link, and notes. Types that track work orders also ask for a WO# and WO Title; both show when the event is opened, and in calendar apps that subscribe.
- Format the notes with the bar above them if it helps: bold, italic, underline, strike-through, a text color, a font and size, bulleted or numbered lists, and links (Ctrl+K). Clear formatting (the last button) turns the selected words back to plain text. Pasted text arrives as plain words, so formatting copied from email or Word does not come along.
- Set the start and end. Tick All day for events without a set time, such as time off or a delivery window.
- Press Save. The event appears for everyone within a minute or two.
Repeating events
Under Repeat, choose daily, weekly, monthly or yearly, how often, which days, and when the series ends. When you later change or delete one date in a series, you'll be asked whether to apply it to this event only, this and following events, or all events in the series.
Changing or copying an event
Open the event, make your changes and press Save. Duplicate starts a new event with the same details, which is a quick way to schedule something similar on another day.
Marking an event completed
Open the event and tick Mark completed under the title. The tick is saved straight away, with no need to press Save. On the Day, Week, Board and Month views, the dashboard and the wall monitor the event stays in place with its title struck through. The Agenda view and the Agenda list beside the week only show what is still to do, so a completed event drops off them. Untick it the same way if the work turns out not to be finished. The "last edited" line shows who ticked it.
On a repeating event the tick only marks the date you opened (the box says which date), so finishing this week's inspection leaves next week's open. You are not asked "this event only, or all?" for a tick.
The wall monitor and the embed link can see which events are completed but cannot tick them, the same as they cannot change events. In calendar apps that subscribe to your feed, a completed event's title starts with a ✓, since they cannot show crossed-out text.
Deleting an event, and undoing it
Open the event and press Delete. An Undo button appears at the bottom of the screen for a few seconds. If you miss it, the event is not lost: deleted events are kept for 30 days and an Owner or Admin can restore them from Settings → Backup → Recently deleted.
